Consider recommending adoption of an ordinance of the City of Denton authorizing the City Manager or his designee to execute a contract through the Buy Board Cooperative Purchasing Network for the acquisition of one (1) fuel truck for the City of Denton Fleet Services Department; and providing an effective date (File 6371-awarded to Rush Truck Center, Crane in the amount of $251,025.21).

BACKGROUND

This item is for the purchase of one (1) model 348 Peterbilt chassis with a Curry Supply fuel truck body. This is a fleet addition that was approved as a supplemental for the Fiscal Year 2015-2016 Fleet Services budget. The current fuel truck is owned by Solid Waste but operated by Fleet Services staff at a reduced hourly rate. The 2007 fuel truck has met replacement criteria based on 10 years of age and $203,510 in lifetime to date maintenance costs. The Solid Waste Department is requesting to retain the old fuel truck as a backup in the event the new truck is down for repairs. The new fuel truck will have a capacity of 1,500 gallons of biodiesel, will be fueled from the fuel rack at the Renewable Fuels Station, and will carry storage for multiple types of oil. This truck is also used for preventive maintenance actives (oil changes, transmission and hydraulic services). Cooperative contract pricing was obtained for the truck (Exhibit 1). This truck will be purchased through the Buy Board Cooperative Purchasing Network Contract #430-13.

 

The City of Denton is standardizing to Peterbilt for Class 7 and Class 8 trucks (Exhibit 2). Rush Truck Centers are the only distributor of Peterbilt trucks in Texas, and are considered a single source purchase (Exhibit 3).

 

OPTIONS

1.                     Recommend to Council to award the purchase of one (1) Peterbilt Truck to Rush Truck Center, Crane in the amount of $251,025.21 to be owned and operated by Fleet Services at a rate of $85 per hour.

 

2.                     Recommend to Council to award the purchase of one (1) Peterbilt Truck to Rush Truck Center, Crane in the amount of $251,025.21 to be owned by Solid Waste and operated by Fleet Services at a rate of $60 per hour.

 

RECOMMENDATION

Fleet Services and Solid Waste staff recommend the award of the purchase of one (1) Peterbilt Truck to Rush Truck Center, Crane in the amount of $251,025.21 to be owned and operated by Fleet Services.

 

ESTIMATED SCHEDULE OF PROJECT

The purchase and delivery of the truck will occur within 180 days of purchase order issuance. 

 

 

PRIOR ACTION/REVIEW (Council, Boards, Commissions)

The purchase of this item for Fleet Services was approved in the Fiscal Year 2016-2017 budget.

 

FISCAL INFORMATION

The Peterbilt truck will be partially funded from Certificate of Obligation bonds with the remainder from Fleet Services operating accounts. Requisition #132959 has been entered in the Purchasing software system.
