Consider recommending the City Council adopt an ordinance of the City of Denton authorizing the City Manager or his designee to execute a contract through the Buyboard Cooperative Purchasing Network for the acquisition of one (1) 2014 Elgin model Broom Badger street sweeper for the City of Denton Solid Waste Department; and providing an effective date (File 6225-awarded to Kinloch Equipment & Supply, Inc. in the amount of $169,000).

BACKGROUND

This item is an addition for the Solid Waste Department and will be used to maintain their roads. The unit that staff is recommending is a demo model with 11,945 miles currently. The equipment will have the same warranty as a new unit. Staff is recommending the purchase of the demo equipment due to the $17,749 savings over the newer Elgin model without a customer supplied chassis. Including the cost of the chassis the price difference between a new unit would exceed $60,000. The equipment is also immediately available so there will be no order lead time. The street sweeper will be purchased through the Buyboard Cooperative Purchasing Network Contract# 420-13.

 

Quotes were obtained from two (2) cooperative contract vendors. Bids on demo models with up to 15,000 miles were requested and BTE Body Company, Inc. responded with a comparable unit that is $44,175 more expensive than the staff recommendation (Exhibit 2).

 

RECOMMENDATION

Award the purchase of one (1) Elgin model Broom Badger to Kinloch Equipment & Supply, Inc in the amount of $169,000.

 

ESTIMATED SCHEDULE OF PROJECT

The purchase and delivery the street sweeper will occur within 30 days of purchase order issuance. 

 

PRIOR ACTION/REVIEW (Council, Boards, Commissions)

This item was approved for purchase in the FY2015-2016 budget.

 

FISCAL INFORMATION

The street sweeper (Fleet ID#SW1686) will be funded from Solid Waste Department operating account 660158595.1355.30100. Requisition #130330 has been entered in the Purchasing software system.
